Terms of Service

1. Who we are and what these terms cover
These Terms of Service ("Terms") are an agreement between you and Vokx ("Vokx", "we", "us"). They govern your use of the Vokx website at https://vokx.tech, the Vokx mobile apps, browser extension and the related services (together, the "Service").
By creating an account or using the Service you agree to these Terms and to our Privacy Policy. If you use the Service for an organisation, you confirm you may bind it to these Terms.
2. Eligibility
You must be at least 18 years old and able to enter a binding contract under the Indian Contract Act, 1872. The Service is not directed at children.
3. Your account
Keep your sign-in details secret and tell us promptly at grievance@vokx.app if you think someone else has used your account. You are responsible for what happens under your account.
Give accurate information and keep it up to date.
4. Recording other people
The Service records conversations you choose to record. Laws on recording differ between places and situations. You alone are responsible for telling everyone taking part that they are being recorded, getting any consent the law requires, and complying with the laws that apply to you and to them, including the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
Do not use the Service to record anyone covertly, to record where it is prohibited, or to record confidential or privileged conversations you have no right to record.
5. Your content and AI processing
- You own the recordings, transcripts, notes and other content you create ("Your Content"). You give us a limited licence to store, process and display Your Content only to provide the Service to you, including sending it to the third-party service providers named in our Privacy Policy.
- The Service uses third-party speech-to-text and large language model (LLM) services to transcribe, summarise and analyse Your Content. Depending on the provider and model in use, Your Content may be processed, and kept for a time under that provider's own terms, outside India. We do not control those providers' systems and do not promise that their processing is secure or error-free.
- We do not sell Your Content and do not use it to train AI models.
- Transcripts, summaries, translations and other AI output can be wrong, incomplete or mis-attributed. They are not professional, legal, financial or medical advice. Check anything important against the recording before relying on it.
6. Identity numbers and other sensitive details in recordings
- The Service automatically looks for identity and financial numbers read out in a recording, such as PAN, phone numbers, Aadhaar, passport, voter ID, driving licence, bank account and card numbers, UPI IDs, OTPs and passwords, and masks them in the transcript and everything made from it.
- Aadhaar numbers, card numbers, OTPs, PINs, CVVs and passwords are always masked. The other kinds are kept unmasked only if you give your separate consent in the app and, for an organisation's recordings, an admin of that organisation also allows it. Whether they are kept is your choice (and your organisation's), not ours: we apply the choice that has been made.
- If you choose to keep them, you are responsible for having the right to record and keep them, for who you share them with, and for any use you make of them. Detection is automatic and can miss a number that is mis-heard, split up or said in an unusual way, or mask something that is not one; it does not change the recording's audio, which still contains what was said until you delete it. Do not rely on the Service to keep such numbers out of your recordings: avoid reading them out where you can.
7. Organisations
If you join an organisation, its admins set rules for what you can do in it and may be able to see recordings you make for it, as shown in the app. When you leave, recordings you made for the organisation stay with it.
An organisation that uses the Service is responsible for the recordings made for it and for meeting its own legal obligations to the people recorded.
8. Acceptable use
Do not break the law, infringe anyone's rights, upload malware, probe or attack the Service, get around its limits or security, resell it without our written agreement, or use it to harass, defame or harm anyone.
9. Plans, payment and taxes
- Paid plans are billed in advance through our payment provider (Razorpay) for the period you choose, and renew automatically until cancelled. The price, and any tax included in it, is shown before you pay, and we issue a receipt or invoice for each payment made through our website. Plans bought in the phone app are billed by the Apple App Store or Google Play under their terms, and are managed and cancelled there.
- Each plan includes recording hours per month. Past them, recordings are still taken and transcribed; their summaries are held until you upgrade, add hours or the next month begins. Weekly passes and hour top-ups are one-time purchases.
- The terms of any free trial are shown before you start it. You can cancel at any time, with no cancellation fee; access continues until the end of the paid period. Refunds are made as set out in our Refund, Cancellation and Delivery Policy at https://vokx.tech/refund-policy, which forms part of these Terms.
- We may change prices for future periods with at least 30 days' notice.
10. Third-party services
AI, calendar, meeting, sign-in, payment and connected-app features rely on third parties (for example the AI providers named in our Privacy Policy, Google, Microsoft, Apple, Zoom, Slack and Razorpay). Their terms also apply when you use them, and we are not responsible for their services or for what happens to content after you send it to an app or address you choose.
11. Availability and changes
We work to keep the Service available and secure but do not promise it will be uninterrupted, error-free or free of security incidents. We may change or discontinue features; if we discontinue the Service we will give reasonable notice so you can download your data.
12. Suspension and ending
You can delete your account at any time in the app. We may suspend or end access if you seriously or repeatedly break these Terms or the law, with notice where the law and the circumstances allow.
After you delete your account it is erased from our systems within 7 days, and from backups within a further 35 days, except what the law requires us to keep.
13. Disclaimers and liability
The Service is provided "as is" to the extent the law allows. We are not liable for indirect or consequential losses, or for losses caused by AI output you relied on without checking, by sensitive details you chose to keep, or by third-party services. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim. Nothing in these Terms limits liability that cannot be limited by law, including your rights as a consumer under the Consumer Protection Act, 2019.
14. Indemnity
You will compensate us for claims arising from your breach of these Terms, from recordings you made without the consent the law requires, or from sensitive details you chose to keep or share.
15. Law, disputes and grievances
These Terms are governed by the laws of India, and the courts of India have jurisdiction, subject to any mandatory consumer protection rights you have.
Grievance Officer: Grievance Officer, grievance@vokx.app. We acknowledge grievances within 24 hours and resolve them within 90 days.
16. Changes to these Terms
We may update these Terms. We will tell you about material changes in the app or by email before they take effect; continuing to use the Service afterwards means you accept them.
